Building Your Knowledge Hub
Connect and manage knowledge sources in one place. Fiko uses synced sources such as URLs, PDFs, Swagger files, and Notion content to support AI-driven answers and agent workflows.
What is the Knowledge Hub?
The Knowledge Hub is the workspace where you connect and manage knowledge sources for your company. Instead of creating one-off text entries, the current UI focuses on source-based knowledge such as website URLs, PDFs, Swagger files, and Notion content that can be synced into Fiko.
- Instant answers to customer questions
- Shared across the workspace after sync
- Supports refresh and re-sync workflows
- Works across WhatsApp, LINE, Telegram, and Live Chat
- Powers AI-generated response suggestions
Types of Knowledge You Can Store
The current Knowledge Hub focuses on connected sources that Fiko can ingest and keep up to date for your team.
FAQs
Frequently asked questions can live inside a synced web page, internal KB page, or uploaded document instead of being typed manually one by one.
Most commonWebsite & KB URLs
Public or internal URLs that Fiko can crawl and sync into the Knowledge Hub.
Swagger & API References
Technical API documentation that can be used by AI-assisted support and internal teams.
Notion Content
Team knowledge already maintained in Notion can be connected instead of duplicated.
PDFs & Files
Upload documents such as manuals, onboarding guides, and policy handbooks.
Synced Source Metadata
Each source keeps version, visibility, status, and last updated information so you can audit what the AI is using.
Adding Knowledge Entries
Adding knowledge now means adding a source to the hub, then letting Fiko sync that source into the workspace.
Navigate to Knowledge Hub
Go to /knowledge-hub from the main navigation. This opens the source workspace where you can review all connected sources, health status, and sync history.
Add a New Source
Click "Add new source" to open the add-source panel.
- Source Type — choose a supported source such as URL, Swagger, Notion, or PDF
- Source Details — provide the URL, upload the file, or complete the required connection details
Configure the Source Clearly
Clear source names and clean source content help the AI produce better suggestions and make it easier for your team to audit what is connected.
Writing Tips
- Use a descriptive source name so teammates can recognize it quickly
- Prefer well-structured source content with clear headings
- Keep outdated or duplicate links out of the workspace to avoid conflicting answers
- Choose the right visibility and refresh settings for the source
Save and Sync the Source
Save the source, then let Fiko ingest or refresh it. Depending on the source type, you may use the built-in refresh action later to pull the newest version.
Organizing Your Knowledge
A well-organized knowledge base makes it easier for agents to search and for the AI to surface accurate results.
Use descriptive titles
Titles like "Shipping Policy - Domestic Orders" are easier to find than "Shipping"
Group by source, not by copied text
Prefer a separate source for each major knowledge area so updates are easier to manage
Use the All / URL / File filters and search controls
Quickly find and audit existing sources before adding duplicates
Team Access
Knowledge Hub sources support the wider AI and agent workflow across your workspace.
Accessible to the whole team
Connected sources are shared across the workspace after they are synced. Admin-level users typically manage sources directly in the Knowledge Hub, while agents benefit from the synced knowledge through related AI-assisted workflows.
Keeping Knowledge Up to Date
The Knowledge Hub is designed for ongoing source maintenance. Keep source links, files, and synced content current so AI-assisted replies stay accurate.
Always up to date
Refresh or update the connected source whenever your documentation changes. Check the source status and last updated timestamp to confirm the latest version has been ingested.
When to Review Your Knowledge
- After a product or pricing change
- When your policies are updated
- When agents frequently correct or override AI suggestions on a topic
- At least once per quarter as a routine audit
Troubleshooting
The AI is not using my updated source
Check the source status and last updated time first. If the content is stale, refresh the source and verify there are no duplicate sources with conflicting information.
A source is missing from the list
Use the search bar and the All sources, URL, and File filters. If the source still does not appear, verify it was saved correctly in /knowledge-hub.
I cannot create or edit sources
Knowledge Hub management requires the right workspace permissions. Contact your workspace admin if you need write access.
